The following Terms and Conditions apply when a client is booking the services of Reindeer2Hire with Santa Chris Nicholas together. If your booking is for Reindeer2Hire services only (Reindeer2Hire without Santa Chris Nicholas), please click here 
 
The Contract.
 
The terms and conditions set forth on this page and the written booking confirmation issued throughReindeer2Hire with Chris Nicholas form a contract between the client (the person named on the invoice) and both Reindeer2Hire (reindeer and animal hire service) and Chris Nicholas (professional Santa Claus entertainer). When a client makes a booking, it is understood that they have read and agreed to the terms and conditions set out herein.
 
The person booking Reindeer2Hire with Chris Nicholas and must be over 18 years of age.

An engagement only becomes confirmed by us in writing after the booking fee or deposit has been paid in full. Please see ‘Fee and Payment’ below for more details.

Enquiries and Booking.

Assuming our reindeer service with Santa Chris Nicholas is available for the date and time requested, details of the appearance, service provided, and a tailored price quote will be sent following an enquiry. This quote is not a confirmation of booking, and the date will not be held for you. Bookings must be confirmed by us in writing (usually sent as an official booking confirmation), and the deposit or full fee (whichever is applicable) paid in full before a booking is confirmed.

Priority is always given to clients who have confirmed bookings (complete with the deposit paid) over provisional bookings, enquiries, or temporary date and time hold.

The initial contact is usually dealt with by one of our team who will be pleased to answer any questions you may have and also facilitate the actual booking process should you wish to proceed with a booking. One of our reindeer team will discuss your booking in more detail. Once a booking is secured, Chris Nicholas himself is happy to speak directly with clients to discuss specific details pertaining to his involvement with your booking and requirements.

We reserve the right to decline specific booking requests for reasons such as suitability, logistics,
operational considerations and well-being etc.

Our Provision.

The specific details of what will be provided for the reindeer hire service will be sent following an enquiry and is subject to the terms and conditions herein (in particular, see reindeer section below).
 
Chris Nicholas is engaged as a high-quality professional Santa Claus entertainer in full luxury costume
for all bookings.

 

Chris Nicholas is a sole individual Santa Claus entertainer. We are not a Santa Claus agency, and we do not supply any other Santa Claus entertainers. The Santa Claus seen on this website is solely Chris Nicholas and will be the actual Santa that attends your event.
 
Bookings for Chris Nicholas do not automatically include reindeer, as this is booked additionally with Chris Nicholas and is subject to availability.
 
Should you wish to book our reindeer service to complement your Santa Chris Nicholas appearance, this must be specifically requested in writing.

Unless previously stated in writing, we do not provide grottos, other performers, “elf” assistants, stage scenery, stage equipment (such as lighting and sound equipment), security personnel, photographers, Christmas trees and decorations or any other similar props, backdrop scenery or equipment for bookings.

Street Marketing and Street Appearances.

Chris Nicholas will not undertake any appearances in the context as a “street performer”, nor will he act as a street tout for companies and does not offer services for street marketing, including during the actual engagement.

Fee and Payment.

The following applies for both Santa Chris Nicholas and our reindeer hire service:

As both Reindeer2Hire and Santa Chris Nicholas is a seasonal business and all November and December dates are very limited, a deposit or, in some instances, the full fee (subject to the type of booking) must be paid in full at least ninety days before the date of booking to secure your booking.
 
We require the full fee upfront if a booking is not local to us and/or the booking is for a particularly popular date and/or falls within less than ninety days of the engagement. Payments received from clients will be held in trust in our client account (which is a UK Barclays business bank account) until the completion of the engagement.

All payments are non-refundable except in the unlikely event that we are unable to fulfil the contract for whatever reason, such as being unwell.
 
Clients who choose to make a booking will be asked for their contact and event details (usually through our online booking form). After we have received this information, a provisional booking confirmation email will be sent.

If the full fee or deposit (whichever is applicable) is not received within 48 hours from the time the provisional booking confirmation is issued, the date and time booked will not be held and may be given to someone else. Clients will be contacted using the contact details they have supplied to provide an opportunity to make payment before losing an unconfirmed booking.

If a booking is made less than ninety days before the date of the engagement(s), the full fee is required immediately to confirm your booking. Bookings made within ninety days will not be confirmed until full payment is received.

Any remaining balance due after the engagement must be paid in full within ten working days. 


Unless agreed otherwise, payments can be made directly through our website on a secure payment system. Details for the booking and subsequent payment can be accessed from the unique URL shown in the provisional confirmation (usually sent as an email).
 
In some circumstances, payments may be made directly to our UK bank account, which will be detailed on the client invoice.
 

Payment Methods.
 
Clients can pay directly to our UK business bank account detailed on their invoice or, alternatively, make payment on our secure payment system via our website using a valid debit/credit card.


Overtime Costs and Scheduling.

Shortly after a booking has been made, a client will be issued with an official booking confirmation which will state the pre-agreed start time, duration and finish time of Reindeer2Hire with Santa Chris Nicholas; appearance at the event.
 
If at a later point, including during the actual engagement, additional time is required for any of our services, or reasons such as the event overrunning or a scheduling issue, overtime will be charged at £195 per additional hour for Chris Nicholas and, separately, £220 for Reindeer2Hire hire on a pro-rata basis to the nearest minute.

Granting a request for additional time from Santa Chris Nicholas and/or our reindeer hire service will be subject to availability and in accordance with animal welfare and licence requirements. Therefore additional time, beyond that which is stated on the booking confirmation cannot be guaranteed.

It is the responsibility of the client to ensure that an event runs on time and all scheduled activities involving Santa Chris Nicholas and/or our reindeer hire service fit within the agreed-upon booking time.


While Reindeer2Hire and Santa Chris Nicholas will try to accommodate unforeseen circumstances such as increased crowd attendance, we will not alter the delivery of our services in a way that might jeopardise our hallmark of quality. Reindeer2Hire and Santa Chris Nicholas take pride in providing an exceptional quality experience.

Late Payment. 
 
Reindeer2Hire reserves the right to charge clients £20 per day for late payment. Our confirmation invoice will show the total price you must pay in enough time to allow the money to reach us by this deadline. If you decide to select the option to pay in full at the time of booking, you may do so, but this will not change any of the conditions, which form part of this contract.

Bookings Outside of the UK Mainland.

Quotes for booking requests outside of the UK mainland will include, where applicable, all travel, accommodation and any associated costs (such as baggage) and will be booked by our office unless agreed otherwise. A provisional quote will be issued upon enquiry, and a confirmed quote will be issued at the time of booking, as flight and accommodation costs are subject to fluctuation; bookings can be subject to disruption in accordance with imposed government restrictions.

VIP, Celebrity, High-Profile and High-Security Clients.

Many of Reindeer2Hire and Chris Nicholas engagements are for celebrity, high profile, and high-security clients. The privacy of all clients, their families, and their guests are taken very seriously. No details relating to any clients are disclosed to any third party. Security measures are taken to guard all information, particularly relating to high profile clients.


When required, Reindeer2Hire and Chris Nicholas may consent to additional security checks and interviews before meeting the client. Any such interviews or checks may be subject to our overtime
costs (detailed above).

Chris Nicholas Stage Shows.

If Chris Nicholas is booked to perform in a professional show capacity at a venue such as a theatre, arena, ballroom, shopping centre, open-air stage or any other venue specifically intended for large scale public performance, the staging, sound equipment, lighting equipment, stage and production staff (including sound and light technicians) are the sole responsibility of the client.

The sound and lighting engineers and all other stage production staff must be of a qualified professional calibre, and a sufficient rehearsal with Chris Nicholas must take place before the general public is present.

Unless agreed in writing beforehand, Chris Nicholas does not supply any staging, sound equipment, lighting equipment, stage scenery, sound and lighting technicians, nor stage and production staff for
any bookings.

Public Appearances.

For appearances at all public venues (such as shopping centres, theme parks, hotels etc.), it is the sole responsibility to provide any supporting staff relating to Chris Nicholas; appearance. In all public venues, security personnel must be present at all times when Chris Nicholas is interacting with the public for safety and operational considerations.

Outdoor Appearances.

Reindeer2Hire provide a gazebo to protect our animals from inclement weather.
 
Owing to the expensive nature of Chris Nicholas costumes and make-up, Chris Nicholas cannot work outdoors in the event of adverse weather conditions. If a client is wanting Chris Nicholas to appear outdoors at their engagement, it is the client's sole responsibility to relocate him to a suitable indoor alternative location in the event of windy or inclement weather.

Reindeer.

Reindeer2Hire is a partner business; thus, we can offer clients a combined discounted package of “Santa Chris Nicholas with real reindeer” for your event.

Reindeer2Hire assumes all responsibility for the service relating to reindeer, any other live animals and related animal equipment provided by Reindeer2Hire.
 
Specified details of the additional reindeer hire service provided will be sent to a client on an enquiry.

Reindeer well-being.

All reindeer are subject to availability.

Where a booking is taken with two reindeer and one is unwell on the day or adverse circumstances prevail, Reindeer2Hire will endeavour to replace it with another reindeer or sleigh and honour the price originally quoted.

Reindeer2Hire and Chris Nicholas expect all clients to have consideration for Reindeer2Hire animals.
If in our reasonable opinion or the reasonable opinion of any other person in authority, anyone present at the event behaves in such a way as to cause, or be likely to cause danger, upset or distress our reindeer, Reindeer2Hire is entitled, without prior notice, to terminate the booking with immediate effect. No refunds will be made, nor will Reindeer2Hire pay any expenses or costs incurred as a result of the termination of the contract.

The reindeer attendance at your event is governed by trading standards and DEFRA restrictions imposed at any time for disease containment – we have no control over these and cannot be held liable should they impose animal movement restrictions for disease spread prevention on this date.

The reindeer may require a break for 15 minutes to rest after two hours – this is part of the animal welfare regulation.

Parking, access and space provided for the reindeer appearance.

Suitable parking is a mandatory requirement for all bookings for our reindeer hire service. We may not be able to supply reindeer at an event if the parking space, access and the area allocated for our animal pen and related equipment are not sufficient.
 
The parking must be able to accommodate our animal vehicles and be within proximity to an additional area big enough for our pen, sleigh and related equipment. A detailed specification of this will be sent to a client on enquiry. 

The space provided for the reindeer hire service must be on land owned by the client or is owned by the venue of the event, and/or the client must have full permission and access to this space for the reindeer service provided by Reindeer2Hire, Chris Nicholas and affiliated partners.

Transportation of reindeer.

As the reindeer will travel to your venue separately to Santa Chris Nicholas, please note that in case of breakdown, traffic problems and road closures etc., Reindeer2Hire will endeavour to get the reindeer to your booking as fast as possible. Reindeer2Hire has full roadside and special breakdown relay covers independently for lorries and trailers.

 

If Reindeer2Hire does not make the booking, then a full refund will be given, or you will have the option to book a different day with Reindeer2Hire. If Reindeer2Hire is late, they will make the time up by staying longer. Reindeer2Hire always leaves early, ahead of time to get to a booking; long journeys are made the day before to venues and Reindeer2Hire accommodate the animals on a farm. The client must advise of any major roadworks, etc., near the venue before departure so that extra time is allowed.

There are Rules & Regulations about how many hours an animal can be on the road, and Reindeer2Hire must obey all the Rules & Regulations and uphold our commitment to animal welfare.

Cancellation of reindeer booking.

If you wish to cancel your reindeer booking, you must advise in writing by either email: and/or: Santa Chris Nicholas, Kemp House, 152 - 160 City Road, London, EC1V 2NX, UK. Please see “Cancellation and period of notice” below.

Costumes.

All of the Santa Claus costumes of Chris Nicholas are professional, custom made and consistent with the same quality of costumes used in major movies. Unless agreed beforehand in writing, Chris Nicholas may wear any one of his Santa Claus costumes to any engagement as he sees fit. The costume worn at the engagement is often based on factors such as weather and potential heat exhaustion related to the venues room temperature.
 

Gifts.

Reindeer2hire and/or Chris Nicholas does not supply gifts/presents for any booking. All gifts that clients may wish for Chris Nicholas to hand out at their event must be provided by the client.

Breaks.

All of our animals must have regular breaks in conjunction with our animal welfare license.

For appearances that are longer than one hour, Chris Nicholas must have regular breaks for hydration, cooling down, makeup and costume adjustments etc.

Cancellation and Period Of Notice.

Notification of cancellation by the client must be made at the earliest opportunity. Cancellation of engagements made by the client is non-refundable although we may consider a refund or partial refund if the cancellation has been made more than ninety days before the date of the engagement.


We will also review all other circumstances, but the decision on any type of refund is solely at our discretion and will be done on a case by case basis.
 
In the unlikely event that Reindeer2Hire and Chris Nicholas is unable to fulfil the contract for reasons such as being unwell, the fee or deposit (whichever is applicable) will be fully refunded to the client within ten working days.

Either party may terminate the booking by giving written notice to arrive with the other party no later than ninety days before the date of the commencement of the engagement. Such notification must be sent to the other party in writing by either email or post.


Behaviour.

It is expected that all persons, including children, present at the venue of the engagement behave in a safe, courteous and respectful manner towards Reindeer2Hires animals, staff, Chris Nicholas, property, including (but not limited to) costumes, props, vehicles, equipment, personal items, costumes and make-up. 
 
If any person, including children, present at the engagement behaves in such a way that unreasonably disrupts Reindeer2Hires animals, Chris Nicholas performance, makes unwanted and/or inappropriate physical contact, demonstrates aggression or abusive language towards any of our team, Chris Nicholas, Chris Nicholas performance, assistants and associates and/or property or if any of our team or associates are put into any situation that would be reasonably deemed to be unsafe, we are entitled, without prior notice, to terminate the engagement with immediate effect. In such a case, no refunds will be made, and the client is liable to pay any expenses and/or costs incurred as a result of such a termination.

Adult Supervision.

Suitable and responsible adults must be present at all times during any booking for safety and practicality. In the event of a large group of children being present (e.g. Christmas party), the client should adhere to official children and adult ratio guidelines.

Children With Special Needs.

In the case of a child (or children) that has special needs, we ask that we are informed of the child's needs and any other general information that would be helpful before meeting them. This is primarily to ensure that we can deliver the best possible experience for the child and cater to their needs accordingly.
 
Any children that have challenging or aggressive behaviour owing to conditions such as (but not limited to) autism must have their respective parent or guardian present at all times whilst interacting with Chris Nicholas or any reindeer present.

Request for Animal Welfare Licence, Enhanced DBS Certificate and Public Liability Certificate.

Reindeer2Hire supply a risk assessment, full Public Liability Insurance up to £5 million, Employers Liability Insurance up to £10 million and DEFRA transport licence. Animal Welfare standards are adhered to and maintained at all times.

Chris Nicholas is fully certified by The Enhanced Disclosure and Barring Service (DBS), formally known as the Criminal Records Bureau (CRB). He is also certified as having full Public Liability Insurance up to £10 million.
 
We are happy to send copies of these certificates to any client that has booked our services on request. For data protection reasons, we cannot send copies of these documents until after a booking has been made and confirmed (complete with the full fee or deposit having been received), thus confirming the validity of the client and booking. We can guarantee beforehand that Chris Nicholas’ enhanced DBS certificate confirms he has a completely clean record with no criminal convictions.

Clients must adhere to all data protection laws when being given copies of these documents and not disclose any personal details relating to Chris Nicholas to any third party. Please note that Chris Nicholas; Enhanced DBS Certificate is in his full legal name and not his stage/act name.

Assistants and Associates.

We may need to bring one or more assistants to some engagements. This will always be a qualified, suitable and responsible adult that has professional experience working with Reindeer2Hire and Chris Nicholas.

Travel.

When considering travel, Reindeer2Hire and Chris Nicholas always make sure to leave early, ahead of time to get to the engagement early, and long journeys are often made the day before to venues. However, please advise us of any major roadworks or other potential travel disruption near the venue before our departure that may require extra time.

In some instances, we will inform clients beforehand of previous engagements the same day as their booking that may factor into travel to their engagement. When a major road or motorway is closed, we cannot accept blame for being late.

Confidentiality.

The client must not disclose details, terms or conditions about their booking with Reindeer2Hire and Chris Nicholas in any public capacity such as on social media, other internet sites or by any other public means. This shall include without limitation the revelation of the fee.
 

Privacy Policy.

Reindeer2Hire and Chris Nicholas does not rent, sell, or share any information about clients with non-affiliated companies. Please

Copyright and Use of Material Featuring Reindeer2Hire and/or Chris Nicholas.

We take the protection of our copyright very seriously.

Except as expressly permitted by this notice, you must not use, copy, edit or otherwise modify any material on our website, including videos, photos, audio recordings and text unless agreed in writing by us beforehand. Any material use, including images, videos and audio recordings featuring Reindeer2Hire staff, animals or associates on this website as well as Santa Chris Nicholas is strictly prohibited.

If anyone uses our copyright materials in contravention of the licence set out in this notice, we may bring legal proceedings against them, seeking monetary damages and/or an injunction to stop you from using those materials. You could also be ordered to pay legal costs.

You may only use our website for your own personal and business purposes.

Force Majeure.


‘Force Majeure means any event, which we the supplier or any third party supplier of the service(s) in question could not, even with all due care, foresee or avoid. Such events may include war or the threat of war, riot, civil strife, terrorist activity or actual threatened terrorist activity, industrial dispute, natural or nuclear disaster, adverse weather conditions, closure of airports, an outbreak of a virus or disease (including but not limited to Coronavirus / COVID19), fire and all similar events outside our control.
